CALL TO ORDER AND PLEDGE OF ALLEGIANCE 2. ORAL COMMUNICATIONS 2.1. Public Comment At this time, the public is permitted to address the Youth Advisory Committee on non-agendized items. Please step to the podium and clearly state your name for the record. COMMENTS SHOULD NOT EXCEED THREE (3) MINUTES. In accordance with State Law, no action or discussion may take place on any item not appearing on the posted ag enda. The Youth Advisory Committee may respond to statements made or questions asked, or may request Staff to report back at a future meeting concerning the matter. Any member of the public may contact the Recording Secretary’s Office related to the proper procedure to place an item on a future Youth Advisory Committee agenda. The exceptions under which the Youth Advisory Committee MAY discuss and/or take action on items not appearing on the agenda are contained in Government Code Section 54954.2(b)(1)(2)(3). 3. CONSENT CALENDAR Consent Calendar items are typically non-controversial in nature and are considered for approval by the Youth Advisory Committee with one single action. Members of the audience, Staff or the Youth Advisory Committee who would like an item removed from the Consent Calendar for purposes of public input may request the Chair to remove the item. 3.1. Minutes of the October 24, 2018 Regular Youth Advisory Committee Meeting The Youth Advisory Committee will consider approval of the minutes of the October 24, 2018 Regular meeting. Youth Advisory Committee Youth Mini Grant Program Applications Review and Selection The Youth Advisory Committee members will review and rate the Youth Mini Grant applications. Through this process the Committee will select qualified applicants to attend the Youth Advisory Committee Special Meeting on December 5, 2018 and November 14, 2018 Dublin Youth Advisory Committee Agenda Page 2 of 2 provide a five-minute presentation regarding the organization’s/club’s funding request. STAFF RECOMMENDATION: Review and rate each Mini Grant application, select qualified applicants, and direct Staff to notify applicants on November 16, 2018. 8. OTHER BUSINESS Brief information only reports from the Committee and/or Staff, including committee reports and reports by the Committee related to meetings attended at City expense (AB1234). 9. The Committee received the report. 7.2. Tri-Valley Youth Advisory Committee Roundtable Event Henry Siu, Recreation Coordinator, presented the specifics of the item as outlined in the Staff Report. The Committee received the report. 7.3. 2019 Dublin Benefit Concert Timeline and Work Plan Henry Siu, Recreation Coordinator, presented the specifics of the item as outlined in the Staff Report. The Committee provided feedback on the Work Plan. On motion by Committee Member (IMRAN, ALEENA), seconded by Committee Member (PHANEENDRA, SIRI), with Committee Members (WONG, LAKSHMAN AND VURIMI) absent and by unanimous vote, the Committee recommended Committee Members (IMRAN, PHANEENDRA AND FURTADO) to serve on the benefit concert subcommittee. 8. Through this process the Committee will select qualified applicants to attend the Youth Advisory Committee Special Meeting on December 5, 2018 and provide a five-minute presentation regarding the organization’s/club’s funding request. STAFF RECOMMENDATION: Review and rate each Mini Grant application, select qualified applicants, and direct Staff to notify applicants on November 16, 2018. FINANCIAL IMPACT: The Mini Grant program has a total of $1,600 budgeted in Fiscal Year 2018-2019. DESCRIPTION: Each year, the Youth Advisory Committee Youth Mini Grant program is offered to Dublin-based youth organizations/clubs to apply for grant funding. On Friday, October 5, 2018, Staff distributed the Youth Mini Grant application link to Dublin High School, Wells Middle School, Fallon Middle School, St Raymond’s, Valley Christian, and Quarry Lane schools. Staff also emailed the Committee the Youth Mini Grant application link for them to distribute. The deadline for Dublin-based youth organizations/clubs to submit their application was due at 5:00 PM on Friday, October 26, 2018. The Committee members will review and rate the following applications that were received by the deadline: Teens United for Education Girls Who Code 7.1 Packet Pg. 7 Page 2 of 3 Gaels Connect Dublin High School HOSA Quarry Lane Environmental Club Boy Scouts of America Troop 905 Valley Children's Museum Submittals received by the deadline; however, are missing an application: Gael Force Build Club (Robotics) Dublin High School Science Olympiad Submittals received by the deadline; however, are missing Section B (supplemental questions): Wells Middle School Leadership Fallon Middle School Student Council P.A.T.C.H Club Junior Coach Golf Mango Foundation Qualified applicants will be invited to give a five-minute presentation at the Special Meeting of the Youth Advisory Committee on December 5, 2018. After the presentations, the Committee members will deliberate and discuss the amount of grant funding recommendation for each organization/club. Staff will then present and seek approval for the Committee’s recommendation at the December 18, 2018, City Council meeting. After which time, awarded grantees will be notified by phone and email before December 21, 2018 of their success and grant amount.
