CALL TO ORDER AND PLEDGE OF ALLEGIANCE 2. ORAL COMMUNICATIONS 2.1. Public Comment At this time, the public is permitted to address the Youth Advisory Committee on non-agendized items. Please step to the podium and clearly state your name for the record. COMMENTS SHOULD NOT EXCEED THREE (3) MINUTES. In accordance with State Law, no action or discussion may take place on any item not appearing on the posted ag enda. The Youth Advisory Committee may respond to statements made or questions asked, or may request Staff to report back at a future meeting concerning the matter. Any member of the public may contact the Recording Secretary’s Office related to the proper procedure to place an item on a future Youth Advisory Committee agenda. The exceptions under which the Youth Advisory Committee MAY discuss and/or take action on items not appearing on the agenda are contained in Government Code Section 54954.2(b)(1)(2)(3). 3. CONSENT CALENDAR Consent Calendar items are typically non-controversial in nature and are considered for approval by the Youth Advisory Committee with one single action. Members of the audience, Staff or the Youth Advisory Committee who would like an item removed from the Consent Calendar for purposes of public input may request the Chair to remove the item. 3.1. Minutes of the September 26, 2018 Regular Youth Advisory Committee Meeting The Youth Advisory Committee will consider approval of the minutes of the September 26, 2018 Regular meeting. STAFF RECOMMENDATION: Approve the minutes of the September 26, 2018 Regular Youth Advisory Committee meeting. 4. WRITTEN COMMUNICATION 5. PUBLIC HEARING 6. UNFINISHED BUSINESS 7. NEW BUSINESS 7.1. Tree Lighting Event The Committee members are being asked to sign up for volunteer assignments at the annual Tree Lighting event. STAFF RECOMMENDATION: October 24, 2018 Dublin Youth Advisory Committee AgendaPage 2 of 2 Volunteer at the Tree Lighting event on Thursday, November 29, 2018, from 6:15 to 9:15 p.m. to assist Staff with event set-up/clean up, serving cookies and hot chocolate, and to escort Santa. 7.2. Tri-Valley Youth Advisory Committee Roundtable Event The Committee will discuss attending a roundtable event with Youth Advisory Committee Members from Danville, Pleasanton and San Ramon to discuss teen initiatives and fundraising ideas. STAFF RECOMMENDATION: Attend the Tri-Valley Youth Advisory Committee Roundtable event on Saturday, January 26, 2019, located at the Danville Community Center, from 1:00 to 4:00 p.m. 7.3. 2019 Dublin Benefit Concert Timeline and Work Plan The Committee will establish the 2019 Dublin Benefit Concert timeline and work plan. Three Committee members will be appointed to serve on a planning subcommittee, which will include two Dublin Senior Advisory Committee members. STAFF RECOMMENDATION: Establish the 2019 Dublin Benefit Concert timeline and work plan. Appoint three members to serve on the Dublin Benefit Concert Subcommittee. 8. OTHER BUSINESS Brief information only reports from the Committee and/or Staff, including committee reports and reports by the Committee related to meetings attended at City expense (AB1234). 9. The Committee provided feedback on the Work Plan. The event will feature musical performances, refreshments (cookies and hot chocolate), and attendees will be treated with a special visit from Santa. Committee members are being asked to sign-up and volunteer at the event. Staff needs assistance with event set-up/clean up, serving cookies and hot chocolate, and to escort Santa. Youth A dvisory Committee Members from Danville, Dublin, Pleasanton, and San Ramon met from 1:00 to 4:00 p.m. to discuss current youth issues and how each City or Town operates their Advisory Committee. FINANCIAL IMPACT: N/A DESCRIPTION: The Dublin Benefit Concert has become an annual event since 2014. The concert showcases the talents of both local youth and seniors to promote an intergenerational event. Donations will be accepted at the concert to assist in raising funds for the City of Dublin Senior Fee Assistance Program, which provides fee assistance to qualified seniors who could not otherwise participate in City of Dublin recreation programs. The duties of the Dublin Benefit Concert Subcommittee will consist of: o Completing timeline duties o Attending regularly scheduled meetings o Promoting the concert o Screening and selecting performers o Assisting Staff at the concert The following is the proposed timeline and work plan dates: October 24, 2018 o Establish a timeline and work plan 7.3 Packet Pg. 10 Page 2 of 2 o Appoint three Committee members to serve on the Dublin Benefit Concert Subcommittee o Select a Sunday in April to conduct the concert, at the Emerald Glen Park Amphitheatre November 2, 2018 o Create a Dublin Benefit Concert ad in the Spring Rec Guide o Spring Rec Guide will be uploaded to the City’s Website January 8, 2019 December 6, 2018 o Three Committee members will be appointed to serve on the Dublin Benefit Concert Subcommittee January 14, 2019 o Create Dublin Benefit Concert promotional flyer for distribution February 15, 2019 o Upload Dublin Benefit Concert online application link on the City's website February 15, through March 15, 2019 o Online Application deadlines o Promote application at Dublin High School, Cottonwood, Fallon and Wells middle schools, Dublin cultural arts businesses and Dublin Senior Center o Promote application on City’s social media platforms March 15, 2019 o Deadline for completed online applications will be accepted until 5:00 p.m. Week of March 18, 2019 o Subcommittee will screen and select performers o Promote concert on City’s social media platforms Week of March 25, 2019 o Selected performers will be notified NOTICING REQUIREMENTS/PUBLIC OUTREACH: N/A ATTACHMENTS: None. 7.3 Packet Pg. 11
