SUBJECT:
Award of police Vehicle Bid
Report prepared by Staff
(A) Bid package submitted by Shamrock
Ford.
EXHIBITS:
1) Award bid to Shamrock Ford and
authorize staff to issue a purchase
order based on the bid.
2) Authorize purchase of Ford Premium
Extended Service Plan w/Maintenance
Warranty (3yr/85,000miles).
FINANCIAL STATEMENT: Total cash purchase price to the city is
$27,116.32 + $6,760.00 for 3yr warranty
= Total cost of $33.876.32. The total net
cost to the city (considering the 1% sales
tax the city will receive) is $33.625.82
Replacement funds are available in the
Internal Service Fund.

DESCRIPTION: At the regular city council meeting on
April 12, 1993, the city council authorized staff to seek bids on
two (2) pOlice vehicles. copies of the Bid requests were mailed
to nine car dealers in the general area.
The bid specifications requested bids on equipment which matched
the specifications for the 1993 Ford Crown Victoria Police
Package vehicles. The documents allowed for substitution of like
or better equipment. Any alternative was to include
documentation to indicate a comparable vehicle. The bid request
also included a list of accessory items that the city considered
an integral portion of the bid.
Bids were received from one car dealer: Shamrock Ford of Dublin.
Pursuant to the adopted purchasing ordinance, the sealed bid was
opened on Monday, April 26, 1993.
After reviewing the bid, staff is recommending the bid be awarded
to Shamrock Ford of Dublin.
staff has looked at the average mileage attained by the police
patrol vehicles when they are removed from service. The vehicles
average 80,000 to 85,000 miles at the end of three years. Staff
is recommending that the city purchase a 3yr/85,000 mile Premium
Extended Service w/Maintenance Warranty. This will keep the
warranty package consistent with the warranty packages purchased
on the 1992 vehicles.

RECOMMENDATION: Taking into consideration the net affect of
the portion of sales tax returned to the city, staff recommends
accepting the bid for two (2) police vehicles, to include the
3yr/85,000mile warranty, from Shamrock Ford of Dublin.
FundS for this purchase are budgeted from Vehicle Internal
service Fund revenues. There are sufficient Internal Service
Fund revenues available to purchase both vehicles.
