FINANCIAL STATEMENT: None DESCRIPTION: The 9th Annual Day on the Glen Festival will be held from loam to Spm on Saturday and Sunday, September 19 and 20, 2009. This year's theme is "Animal Adventure". The event will be held at Emerald Glen Park and feature the following components: Animal Exhibits: A separate stage in the Pine Grove area will host animal exhibits to both entertain and educate attendees on wildlife preservation, animal habitat and traits. Children's Activities: Carnival Rides /Jump Houses /Games /Tot Play Area Main Stage: Entertainment will vary from 80's rock to puppets and children's interactive singing and dance. The "Community Stage" will also feature local groups demonstrating karate, children's theatre, hula and belly dance. Roaming entertainment will include; clowns, McGruff--the Crime Dog, Geoffery-the Toys 'R Us giraffe, and Glen the Guide. Sports Competitions: Youth & Adult Tennis Tournaments 3 on 3 Basketball Tournaments Skateboard Competition COPY TO: Page 1 of 2 ITEM NO. ~D G:\COiTNCIL\Agenda Statements\2009\8-18 DOTG update (2).doc Non-Profit and Commercial Booths: Currently, there are 25 commercial vendors, 22 non-profit organizations and 10 food/snack vendors. Applications were mailed in April to Commercial Vendors with Dublin based businesses receiving atwo- week priority application period. Non-Dublin based commercial businesses could apply after May 18th As in previous years, acceptance is based on the needs of the festival to insure a variety of vendors and types of services offered. Booth placement is given careful consideration based on safety and environmental health issues, park design and event layout. Currently there are 25 commercial vendors, 15 of which are Dublin businesses. Non-Profit groups received applications in mid-April as well, offering a free 10 x 10 space. Once again, Dublin based Non-Profits and Dublin based government/service organizations are given atwo-week priority registration period. The Parks and Community Services and Personnel Departments maintain a master Non-Profit mailing list and invite each organization to apply for a booth space and/or participate in our Community Worker Program. All new Non-Profit organizations are encouraged to contact the City so that they can be included on the master list. Additionally, there will be a variety of booths including arts and crafts, event sponsors and government agencies including the City Hall Tent, Dublin Police Services, Alameda County Fire, Dublin Partners in Education, Zone 7 Water Agency and Dublin Public Library. Event Parking: On both Saturday and Sunday, the vehicle parking lot along Gleason Drive and the vehicle parking lot along Central Parkway will be open and available to the public for attendee parking. Street parking is also available on Central Parkway. As in past years, No Parking Signs along the south side of Gleason Drive will be bagged over the weekend to provide an additional 170 parking spaces for the general public. Modification of Annual Dates: This well received community event has traditionally been held in the latter part of September with the dates selected based on other area events coinciding on the same weekend. Now that Day on the Glen is recognized as one of the City's premier events, Staff recommends that the annual dates be established as the weekend following Labor Day. Designating a weekend earlier in the month assists in the marketing and promotion of an annual end-of-summer event and will also allow community members, businesses and non-profit organizations to mark their calendars each year and plan accordingly. RECOMMENDATION: Staff recommends that the City Council receive the report and approve the designation of the Day on the Glen Festival to take place annually on the weekend following Labor Day.
