HERITAGE & CULTURAL ARTS COMMISSION DATE: February 9, 2017 TO: Honorable Chair and Commissioners FROM: Tegan McLane,Cultural Arts&Heritage Manager SUBJECT: Committee Assignments EXECUTIVE SUMMARY: The Commission will receive a report on upcoming ad hoc Committee assignment availabilities. FINANCIAL IMPACT: Noone. RECOMMENDATION: Staff recommends the Commission select two Commissioners to serve on each of the following ad hoc committees: • Large Scale Art Artist Qualifications Review Committee • City Historian Application Review Committee • Poet Laureate Application Review Committee DESCRIPTION: Periodically the City convenes ad hoc committees to review applications and proposals related to Heritage and Cultural Arts projects and programs. These committees can include subject matter experts, stakeholders, Staff and representatives from Commissions or standing Committees. Ad hoc committee assignments are usually short-term commitments. Commissioners assigned to an ad hoc committee are expected to report back to the Commission at large about the committee's progress and help provide important background when the larger committee considers the item. ITEM NO.: 8.2 Page 1 of 2 The Chairperson has the ability to appoint committee members, but Commissioners are strongly encouraged to volunteer for committee assignments that suit their interests and schedule. Current assignments available are: Large Scale Art Artist Qualifications Review Committee • Duties:Review artist resumes and portfolio samples to prequalify a shortlist of artists that the City will invite to submit proposals for site specific pieces for the Public Safety Complex and (pending Council approval) Dublin Crossing Park. The Committee will also include subject matter experts and Staff. This Committee is not choosing specific art for the two locations. • Expected time frame: Staff hopes to publish the RFQ in February,with a deadline at the end of March. The Committee's work will be in April. • Expected time commitment:Attend one to two meetings,likely scheduled for a weekday evening. City Historian Application Review Committee • Duties: Review applications for City Historian, possibly including reading historical research done by the candidates.The Committee will also include subject matter experts and Staff. • Expected time frame: Staff hopes to publish the Application in February, with a deadline at the end of March.The Committee's work will be in April. • Expected time commitment:Read applications at home.Attend one meeting. Poet Laureate Application Review Committee • Duties:Review applications for Poet Laureate,including reading poetry written by the candidates. The Committee will also include subject matter experts and Staff. • Expected time frame: Staff hopes to publish the Application in February, with a deadline at the end of March.The Committee's work will be in April. • Expected time commitment:Read applications at home.Attend one meeting.
