Parks and Community Services Commission Liaison Present: Burr Cain Staff Present: Anna Hudson, Recreation Coordinator, and Paul McCreary, Parks and Community Services Manager Oral Communications-None Approval of the Minutes THE COMMITTEE UNANIMOUSLY APPROVED THE MINUTES OF THE MARCH 2, 2006 MEETING. MOTION BY CM JIM MCCUEN, SECONDED BY CM BARBARA GIFFORD. Written Communication-None Unfinished Business STEP OUT FOR SENIOR CENTERS EVENT Staff gave a brief update of the planning for the upcoming Step Out for Senior Centers event scheduled for Saturday, May 20, 2006 at the Dublin Senior Center. The activities include the workshop with keynote speaker Marita Gruzden, the walk and breakfast, the information and resources fair, the art exhibit and the mini-workshops. Since the last meeting Staff had met with Marita Gruzden at Stanford to discuss the format of the workshop. All the vendors were emailed an application form to inform them about the Step Out event. Many of the organizations who attended the grand opening have expressed an interest in participating. For the Information and Resources Fair commercial groups will be charged $150 to help offset the cost of the event particularly to provide refreshments throughout the day. Staff has distributed the 2006 Art Exhibition Application Forms to all the various art classes held at the Dublin Senior Center. The application form will be available to the community-at-large through publicity. Space is limited, and only one art piece will be accepted from each senior artist. Invitations to the event will be extended to the City Council and Commissioners to help lead the walk. Deborah Richmond from the City's Jazzercise class will lead the stretching before the walk. The Dublin Historical Preservation Association has volunteered to help with the breakfast. Staff accepted the offer to help and also invited the Fire Department to help with breakfast. The t-shirt design was well-received by the members of the Advisory Committee. The color of this year's shirt will be teal. Approximately 150 shirts will be ordered. The shirts will be given away to the walkers and the remaining t-shirts will be sold. CITY OF DUBLIN SENIOR CENTER ADVISORY COMMITTEE MINUTES OF APRIL 6,2006 PAGE 2 OF 4 A variety of 30 minute mini-workshops will be offered from 12:30 to 2:30 p.m. The topics of the workshops will include_,a laugh class, a meditation class, a Pilates, etc. Staff asked if each Committee Member wanted to help with any of the event components. Staff will meet with each Committee Member to go over each area of interest and find out what capacity that they can help prior to and/or on the day of event. Staff stated that the Committee Members would serve mainly as a host to be sure that each area is taken care of. CM Payton stated that she could help with the donations for the breakfast but will not be in town for the event. CM Edge volunteered to help with the walk registration and be a Host for the instructor's workshop. CM Gifford volunteered to be a Host for the Art Show. CM McCuen volunteered to be a Host for the Breakfast. CM Wood volunteered to be a Host for the Information and Resources Fair. Staff will provide coverage for the Volunteer Booth and the Senior Center booth. The receptionist desk will be utilized to check in all vendors and instructors and to pass out the Program. ANNUAL VOLUNTEER RECOGNITION EVENT The upcoming Dublin Senior Center Volunteer Banquet will recognize all volunteers who have provided service during the 2005 calendar year to March 2006. Staff will hold the event on April 27 in conjunction with National Volunteer Week. Over 150 volunteers have been invited. The event will be held during lunch at Dublin Senior Center with a western theme. Entertainment will be provided for one hour followed by an awards ceremony. The menu will consist of trip-tip, chicken, coleslaw,baked beans, corn bread and ice cream. Volunteers will be recognized by the Mayor with a certificate of appreciation. WINTER QUARTERLY REPORT Staff provided an overview of the attendance and the classes and programs held during the winter quarter at the Senior Center. The Food Distribution program has seen one of the biggest increases in attendance. There are now about 150 seniors registered for the program. CM Edge stated that he heard that the Pleasanton Farmer's Market gives food to other local senior centers. Staff said they would look into this food giveaway. The new classes offered this quarter include Pilates for Osteoporosis, SmartEats, numerous workshops, and Writing for Self Expression. CITY OF DUBLIN SENIOR CENTER ADVISORY COMMITTEE MINUTES OF APRIL 6,2006 PAGE 3 OF 4 There was a remarkable increase in the number of volunteer hours this year. Staff attributes this to now scheduling two volunteer receptionists, where in the past only one volunteer was scheduled to work at a time. There was also an increase in the number of kitchen volunteers and volunteer instructors who provide a variety of classes and activities. CM Payton asked if the decrease in attendance at lunch during February was attributable to the quantity or quality of the food. CM Gifford and CM Edge stated that the food served at the Dublin Senior Center was good in both the quality and quantity. CM Wood asked Staff at what point are the classes and activities offered at the Dublin Senior Center reviewed, and how are new classes added at the Dublin Senior Center. Staff indicated that attendance is reviewed on a quarterly basis. As the number of programs expands, some programs that are no longer popular may have to be discontinued. CM Edge asked if Staff could look into selling stamps, or getting a stamp machine, and having a mailbox placed in the Senior Center. Staff shared that once registration for senior programs becomes computerized, it may be possible to start selling items, such as stamps, and BART tickets. The City will be hiring two part-time Office Assistants for the Senior Center. These Office Assistants will be trained to use the computerized registration system, and handle various types of transactions. CM Woods asked that the Committee be provided with a quarterly update on the type of classes offered after hours at the Dublin Senior Center. She addressed that she was concerned about the security of the facility and that someone be at the front counter at all times to see who is entering the building. Staff appreciated her concerns and said that every effort is made to have at least a volunteer or staff person work the receptionist desk during normal business hours. Commissioner Cain inquired if the developers of the new affordable senior housing in eastern Dublin are required to provide a shuttle to provide service for their residents. McCreary indicated that was a condition of approval for the project, but he was unsure of the details. Commissioner Cain suggested that we provide information about the Senior Center to the new residents of the Groves. Other Business CM Wood raised questions of how the City will deal with impact that the various new affordable housing projects will have on the Dublin Senior Center now and in the future. CM Woods noted that for example, the Wicklow Apartments have residents who live alone, are frail, and don't speak English. Although the seniors were thoroughly assessed, many of the Wicklow residents are elderly and their needs may change in a short amount of time. CM Woods thanked the City for the significant investment made in constructing the affordable housing. CM Woods also thanked the Senior Center Staff for working so hard to help these residents to creatively solve problems and become involved in senior center activities. Commissioner Cain announced that the new Dublin Teen Website is on-line. It can be viewed at www.DubTownTeens.com. He indicated the website was very well done.
