Event Flyer · Skateboard Competition Flyer FINANCIAL STATEMENT: None DESCRIPTION: The City of Dublin is producing the 2003 Day on the Glen Festival at Emerald Glen Park on September 27, 2003, from 10:00 A.M. to 8:00 P.M. and September 28, 2003, fi.om 10:00 A.M. to 5:00 P.M. Following is a summary of the planning to date. EVENT COMPONENTS Attachment 1 is a map of the layout of the festival· The main entrance and hub of the festival will be in the central plaza area of the park. The central plaza will be the location of the shuttle stop, passenger- loading zone, information booth, the Community Stage, and some food and beverage booths· The City Hall Tent, Alameda County Fire and the Alameda County Sheriff will also be located in this area. The Sheriff's Department will have their bomb squad and S.W.A.T. team vehicles on display. On the grand promenade, which leads from the central plaza by the snack bar to the children's playground, a Community Marketplace will feature booths for community groups, commercial vendors and sponsors. The Tri-Valley SPCA will be in this area with some animals and information about pet adoption. BeYond these booths will be an area featuring food booths and an Entertainment Pavilion. The Entertainment Pavilion will feature a main stage with shaded seating. An expanded Children's Zone will be located on the grass area between the two ball fields. The children's zone will include a Craft Tent featuring dozens of free crafts, a large shaded play area sponsored by Toys R Us, a carnival area with bounce houses and A new feature of this year's festival will be a SportsZone, located adjacent to the tennis courts. The area sponsored by SBC will feature live televised sports broadcasts and a place' to relax· The Dublin Lion's Club will host the "Lion's Grill" at the SportsZone on Sunday. The flat turf area behind the tennis courts will be used for volleyball tournaments. Saturday's tournament will feature 4-person Business Coed and 4-person Reverse Coed A & B competitions and Sunday will be for Men's and Women's Doubles· Included in this year's festival will be the City's 1st Annual Tennis Championships· The championship will be determined though a single elimination tournament. G:\COUNCIL~Agenda Statements~2003X9-16 Day on the Glen.doc ~ CP~ The City's 3~d Annual Youth Skateboard Competition will take place on Saturday beginning at 11:00 A.M. Participants will compete in three age divisions (ages 6-9, ages 10-12, or ages 13-15). Each skater will receive a t-shirt and goody bag. A local skateboard shop, Hardtails, is donating the goody bags. Hardtails will also provide an emcee and judges for the competition. The format will be a timed freestyle in which competitors will have a certain amount of time to complete as many tricks as possible using a certain number of features in the skate park. The top ten finishers from each division will advance from the preliminary round to the finals. Trophies will be awarded to the three top finishers in each category. Registration flyers will be distributed in local stores and local schools and are also available on the City's website. The basketball court will be a TeenZone featuring a rock climbing wall and inflatable obstacle course, disc jockey and karaoke, food and beverage booths and a video arcade sponsored by Blockbuster Video. CITY HALL TENT The 2002 Day on the Glen festival included the first annual "City Hall on the Glen" tent. The purpose of the tent was to provide the public with an opportunity to become familiar with the services and programs provided by the City. The tent contained information from all City departments including informational brochures and handouts as well as visual displays of City projects and activities. This year's festival will include a similar, although larger City Hall Tent. The layout for this year's tent will be much more open and will include more maps and visual displays of City projects. Staff will be available to discuss programs and services as well as current and furore projects. The Parks & Community Services Department will provide a children's area to engage the kids in fun activities, leaving the parents free to explore the tent. ENTER TAINMENT The festival will feature two stages, a Main Stage and a Community Stage. The Main Stage will feature children's entertainment provided by Warner Brothers (The WB 20) featuring Scooby Doo and other WB characters. Lori and RJ from the WB will keep things moving and fun for children and families with a variety of family entertainers. Afternoon and evening entertainment will begin with party band, Double Funk Crunch followed by The Parrotheads, a Jimmy Buffet tribute band. Loft and RJ and the WB characters will return on Sunday. The classic rock band, Jukebox Heroes, will end the day. The Community Stage will feature Benny and BeBe's Magic Circus, Bill the Magician, an exhibition dance by HUI O Kalani E Aloha Hula, Sandie Stevie and the Insects, Spotlight Arts Academy, Cheerleading and Juggler Larry Lariat. Crackers the Clown will circulate through the crowd providing balloon animals to children. FOOD AND BEVERAGE Festival attendees will be able to dine on a variety of cuisine including: Hamburgers, Hot Dogs, Sausage Sandwiches, Th-Tip Sandwiches, and Chicken Sandwiches Clam Chowder and Deep Fried Seafood · Teriyaki Chicken Bowls · French Fries, Fried Artichoke Hearts, Steamed Jumbo Artichokes, and Marinated Artichoke Hearts · Smoothies, Lemonade and Hawaiian Shaved Ice · Funnel Cake and Fresh Coconut · Kettle Korn, Ice Cream and more! · A variety of beer, wine, soda and water. Page 2 of 3 MARKETING The Contra Costa Newsgroup is the official print sponsor. This sponsorship includes full color posters, a number of quarter and half page ads, a full-page ad the week prior to the event and a 12-page tabloid feature section. Advertising will also be purchased in the ANG Newspaper system. The WB Channel 20 is the official television sponsor of the event and will produce and run commercials during the two weeks prior to the event. KKIQ FM 101.7 will be one of the official radio sponsors for the event. Over 3000 postcards have been mailed to Dublin residents and to a specialized mailing list provided by the WB Kids Club (WB Channel 20). The Day on the Glen website (www.dayontheglen.com) has been revamped for this year's event and reflects information regarding directions, activities, entertainment, parking and transportation, restaurants and sponsors. In addition to the traditional media advertising, colorful event banners will be hung on designated light poles throughout the City. The marquees at Shannon Park and the Dublin Auto Center will list event information. Event flyers will be produced and distributed through the local schools and by direct mailing. FESTIVAL VOL UNTEERS As in the past, organizations that provide festival volunteers can earn an hourly stipend for each volunteer hour provided. The Dublin Irish Guard Band Boosters. will be working in the beverage booths. Eastern Star and the Dublin High School Leadership class will be working in the Children's Zone. The. Dublin youth Advisory Committee will be providing volunteers for the TeenZone and the Dublin Senior Foundation and Job's Daughters will be working as festival attendants, runners and information booth aides. Other non-profit groups have been contacted and Staff is still recruiting volunteers. PARKING AND TRANSPOR TA TION Staff has secured shuttle service and the use of private parking lots for offsite parking. The shuttles are buses that resemble San Francisco Cable Cars. MicroDental Laboratories, Sybase and Humphrey Zeiss have pledged nearly 1800 spaces for the event. Blaze Network Products and Opus One will provide an additional 800 spaces. An additional 600 spaces have been secured on City streets that are currently "No Parking" zones. The "No Parking" signs will be covered during the event. Many of the spaces in the parking lot at Emerald Glen will be designated as handicapped parking. The outlying lots will be grouped and identified with highly visible shuttle stop locations. These lots will have service running every 10 minutes to bring participants to and from the festival. COMMUNITY PANCAKE BREAKFAST The Dublin Lion's Club is currently raising funds for a Public Safety Memorial in Dublin. They will be conducting a Community Pancake Breakfast 'at Emerald Glen Park on Sunday from 8:00-10:30 A.M. The menu includes pancakes, sausages, fruit, coffee and juice. The price is $5.00 for adults and $3.00 for children. The funds will contribute to the construction of a Public Safety Memorial in the future. The purpose of combining the events is to further involve the community in the event and raise funds for a worthwhile community project. RECOMMENDATION Staff recommends that the City Council receive the report. This fun event takes place during the popular Day on the Glen Festiva[. A Teen Zone wi[[ be next to the skateboard park. The Teen Zone will feature inflatables, a ~ video arcade, rock climbing wa[[, a DJ & more! Competitors wi[[ compete in three divisions (ages 6-9, ages 10-12, or ages 13-15). Each skater wi[[ have two runs. In each age division, the three competitors with the highest combined scores from both runs wi[[ win prizes. Entries are Umited so be sure to register early!
