SUBJECT: Kolb House-Adopt a Room Program

FINANCIAL STATEMENT: None
DESCRIPTION: To accommodate an ambitious opening schedule, the Dublin Heritage
Park and Museums has launched an "Adopt-A-Room" program in which teams of trustworthy volunteers
from the Dublin community care for rooms within the Kolb house. The teams are in the process of
unpacking boxes, inventorying the collection, cleaning architectural features, providing information to the
collections team and staging their rooms. Each team has received a binder with photographs of how the
room looked before the house was moved, a complete list of objects for each room and guidelines for
proper care and handling of objects. After the rooms are established, each team will continue to care for
their room for one year.
Heather Farqhar, Collections Manager of the Hayward Area Historical Society (HAHS), visited the Kolb
house, reviewed the objects in the collection and provided a report on proper care (Attachment 1). The
Dublin Historical Preservation Association has made a donation to the HAHS in appreciation of Ms.
Farqhar's time and expertise. The guidelines will be used by the teams to ensure that no harm will be done
to the artifacts and building. Teams may also decorate their rooms as the Kolb's would have for different
seasons and holiday. Teams may take pride in their rooms and know that they are performing an
invaluable service to Dublin's new historic house museum.
Another team that is integral to the process is the "Collections Team." The Collections Team is a
specialized group of volunteers that have been trained in collections procedures and practices. The
Collections Team will assign a number to each object and enter detail into the "Past Perfect Museum
Software" program. The Dublin Historical Preservation Association is donating a Personal Computer
specifically for the Collections Team's use.
The Adopt-a-Room program was enthusiastically received by the community and all of the rooms were
"adopted" within the first two weeks. Team members were recruited from the Dublin San Ramon
Women's Club, the Dublin Historical Preservation Association and Dublin Heritage Center volunteers.

Dublin is on target to open an excellent historic house museum thanks to all of these outstanding
volunteers. Attachment 2 shows the members in the Adopt-A-Room Teams and the Collections Team.
RECOMMENDATION: Staff recommends that the Heritage and Cultural Arts Commission
receive the report.
