DESCRIPTION: At the meeting of December 7, 2004, the City Council authorized Staff to solicit bids for a project to install a separate HV AC (heating, ventilating, and air conditioning) unit inside the Poliee Wing evidence storage area. At the present time, the evidence area is served by the same HV AC unit that also serves other portions of the Police Wing, and it is not possible to achieve the degree of ventilation needed in the evidence area withollt compromising the service to the rest of the building. -'.-...-.. ........... - - _.......................................................................... __........................ - _......... iii...................... COPIES TO: Bidders John Croswhite, the Zahn Group ITEMNO.~ O;\MISCPROJIShort Tenn Bldg Imp,ICC ModslPD V onl\ogsl ol~ v It was also proposed that this project would provide an exterior container to house confiscated eviden.ce, After the project was advertised, Staff determined that the best solution for the storage of evidence would be two indoor secure storage cabinets which would be independently ventilated from the rest of the cvidcncc area and from the Police Wing in general. This is a morc typical storage sollltion which mcets thc intent of the project to isolate the evidence but docs not require an outdoor container that would be an inconvenience for Staff. The two indoor containers will be purchased directly by thc City; therefore, this proj ect includes thc cost of installing the two containers and associatcd vcntilation systems. A total of four bids were received. The lowest responsivc bidder is Cal-Neva Environmental Systems with a bid of $56,150. A lower bid was submitted by Martincz Sheet Metal; however, Martincz Sheet Metal's bid omitted both thc bid bond and signed copy of the addendum, which were required items. RoSa Construction also omitted the addcndum copy, although the proposal document contained a statement acknowledging reccipt ofthc addendum. Staff has reviewed the low bidder's proposal and chccked with references, and recommends that the City Council adopt the resolution awarding Contract 04-14, Police Evidence Ventilation System, to Cal-Neva Environmental Systems, Page 2 ð[;~ \Þbl RESOLUTION NO. -05 A RESOLUTION OF THE CITY COUNCIL OF THE CITY OF DUBLIN ********************** AWARDING CONTRACT 04-14 POLICE EVIDENCE VENTILATION SYSTEM TO CAL-NEV A ENVIRONMENT AI, SYSTEMS WHEREAS, the City of Dublin did, on February 2,2005, publicly open, cxamine, and declare an sealed bids for doing the work described in the approved Plans, Specifications, and Modifications for Contract 04-14, Police Evidence Ventilation System, authorized by the City Council on December 7, 2004, which Plans, Specifications, and Modifications arc hereby expressly referred to for a description of said work and for all particulars relative to the proceedings under the request for bids; and WHEREAS, said bids were submitted to the Public Works Director, who has recommended that the bid hereinafter mentioned is the lowest and best bid for doing said work; NOW, THEREFORE, BE IT RESOLVED that the City Council of the City of Dublin does hereby award City of Dublin Contract 04-14, Police Evidence Ventilation System, to the lowest rcsponsible bidder therefor, to wit, Cal-Neva Environmental Systems, with a bid ofPifty Six Thousand, One Hundred Fifty Dollars and No Cents ($56,150), the particulars of which bid are on file in the Office of the Public Works Director. BE IT FURTHER RESOLVED that the Mayor is authorized to execute the agreement.
